Office Manager
Full Time (40 hours/week)
Agency Summary
San Francisco Women Against Rape (SFWAR) is a community-based, anti-sexual
assault, social justice organization. We provide resources, support, advocacy and
education to strengthen the work of all individuals, and communities in San Francisco
that are responding to, healing from, and struggling to end sexual violence. We
provide support to sexual assault survivors, their families, and communities, and use
education and community organizing as tools of prevention. We believe that ending
all forms of oppression is integral to ending sexual assault and challenge oppression
within our organization and communities. We are majority women of color organization
and prioritize working with and for communities facing multiple forms of violence and
oppression.
Position Summary
The Office Manager reports to the Executive Director and has responsibility for
maintaining SFWAR's computer network, including maintenance of computers,
printers and peripherals; regular back-up of systems; oversight of web page and
organizational e-mail; production of newsletter and annual report; maintaining all
office equipment, including phones, photocopier, fax, postage meter; maintaining
cash receipts journal, including preparing bank deposits; maintaining all office policies
and procedures; maintaining office supplies; reprinting of organizational literature;
upkeep of organizational and administrative files; supervising administrative volunteers;
participating in team decision making; providing crisis counseling.
Administrative: Production of 1 newsletters and an annual report per fiscal
year: solicit articles, coordinate editing, layout, printing, production and mailing
of agency newsletter. Maintain office equipment including service contracts;
research acquisition of new office equipment; coordinate printing/production
of all agency publicity/outreach/ communication materials, including brochures
and community resources; maintain SFWAR administrative and resource files.
Participates in planning committees for all development events; coordinates and
implements publicity and outreach plans for development events, activities and
agency special events; coordinates staff office coverage and room scheduling;
picks-up and sorts mail daily; orders supplies. Provide administrative support as
needed.
Computer: Maintain all SFWAR computers, including network, computers,
printers, peripherals and software; maintain regular back-up system for network
and web-page; update web-page content; provide technical assistance to staff on
computer and software issues; manage e-mail systems; monitor laptop and LCD
projector check-out.
Financial: maintain consistent and accurate time sheets for all staff; prepare
payroll; process accounts payable; process cash receipts; deposit cash receipts;
manage and process petty cash; oversee staff usage of organizational credit
cards; maintain fiscal confidentiality.
Direct Services: Provides counseling on 24-hour crisis line and to walk-in clients;
serves as rape crisis hotline back-up; maintains client confidentiality;
Additional Responsibilities: Interact with walk-ins and direct to appropriate
program staff; field non-certified rape crisis counselor volunteer/intern
applications and direct to appropriate program; supervise volunteers/interns
in the completion of any administrative projects; coordinate office upkeep;
maintain and coordinate the updating of office policies and procedures;
check and respond (as appropriate) to organizational e-mail correspondence;
manage SFWAR library and SFWAR equipment check-out; participate in team
decision making with administrative team responsible for own typing, filing and
administrative.
1. Experience with administrative and clerical systems.

3. Expertise with Windows applications, including MS Word, Excel; Adobe
programs such as InDesign, Photoshop, Acrobat and Illustrator; and QuickBooks.
4. Ability to negotiate and maintain relationships with outside vendors & contractors.
5. Records maintenance skills.
6. Excellent phone and communication skills.
7. Ability to work with minimal supervision.
8. Experience in working with sexual violence and/or anti-oppression issues.
9. Understanding of the impact of sexual trauma, violence and oppression, and
healing methods on individuals and communities.
10. The ability to work effectively with/in a teamwork / empowerment model.
11. The ability to relate well to / work with diverse agency staff and clientele.
12. Ability to recognize own healing needs and to access support needed.

This is an exempt position.
